Working Remotely

While all our customers are all different the vast majority of them are using Office 365 and 3CX (below are details of some of the tools that have made this possible) and these customers are uniquely well positioned to work from home. For these customers transitioning under the covid-19 crisis from an office environment to home working was not as stressful as others. Leaving our customers in a position where they could focus on their customers and not on the technology required to enable remote working.

For those staff who under normal working conditions now find themselves working from home, the biggest issue we have been challenged with is sourcing laptops. Stock of laptops has been stretched throughout our supply chain with laptops sold within minutes of being announced. Mear Technology have helped with alternative solution to the situation. Where staff have had their own computer at home, we remotely assisted getting staff connected to their office computer turning their home computer into a remote Monitor, keyboard and mouse. This not only saved our customers a needless capex expenditure but allowed them to promptly react to crisis with minimal impact.

Microsoft Teams

Teams allows you to work remotely without feeling remote. Team collaboration software allows your staff to have meetings, discuss projects, keep track of tasks and staff.

Sending emails and switching to 3rd party platforms like zoom are no longer required. Office 365 Teams allows internal and external users to communicate in near real time across a range of devices and applications. It allows for “Teams” of people to collaborate, communicate and share files across almost any device and is helping companies move away from the bloated inbox’s everyone suffers, into structured and focused conversations.

Multiple channels within a Team allows for easy-to-follow conversation threads and topics. Video or voice calls can be initiated directly from a chat, bringing together all members of the Team effortlessly.

Create interactive Video calls with team members and external parties alike. Even if they are not on the Team platform. Feature rich video conferencing capabilities, such as screen sharing, file sharing, background blurring (obscure your home environment and make the participant the only point of focus), and advanced AI features allow functions like the current talking participant to be brought to the centre of attention.

Powerful integration within the Microsoft Office software suite (Outlook, Word, Excel, One Note, SharePoint, One Drive) simplify the process of conducting remote meetings.

Using Files in the channel you are working on and the newly released sync function means all participants can have easy access to files and folders relating to that group and be easily accessed.

Teams provides integration with other non-Microsoft products such as GitHub, Evernote, Zendesk, MailChimp, SAP SuccessFactors and Salesforce to name a few. An active developer's platform ensures that more integration is added on a regular basis.

Microsoft take security seriously. Teams is “Tier C” compliant service and is covered by Multi Factor Authentication and Single Sign on via Active Directory.

Share Point Online

SharePoint Online is the Office 365 version of the long-standing SharePoint Document Management system that has been around since the early 2000’s. Many companies adopted SharePoint in the early days and struggled with this immensely powerful resource. Mear Technology have implemented a automapping function for SharePoint allowing companies to transition from a on-premises server to cloud office 365 with minimal disruption and staff training. After synchronising files from file server to SharePoint Staff automatically gain access to all company files via file explorer.

SharePoint is a document storage and management system as well a powerful intranet. It is where Mear Technology will be storing all your business company files. Additional features that make SharePoint a worthy upgrade to traditional file servers include

Records management allows for business to automate the retention, deletion and storage policies on documents – auto deletion of financial documents for GDPR is something several clients are working on just now. Information Rights Management allows for advanced security rights to be applied to documents to ensure tight security rights around sensitive client or business data.

To further protect our customers data, we encourage our clients to take up our Office 365 backup. Our backup takes 6 backups a day of all data stored in Exchange (email), One Drive, SharePoint and Teams. Unlimited number of backups stored offsite with no impact to users while backups run.


OneDrive for business

Mear Technology consider OneDrive users Personal Storage. We redirect users' Desktops, Documents and Pictures to OneDrive. With the majority of Office licenses providing Office 365 users 1TB of cloud storage. Files are replicated between desktops/laptops/tablets and mobiles and cloud. Allowing users to seamlessly traverse between their digital assets. Transitions between new devices is also easier

One Drive benefits from many of the same features boasted by SharePoint including versioning and sharing allowing staff to collaborate on files with external parties and recover from user errors without the need to contact the IT team.
